Chec real estate contract automation

ContractsApproval workflow
Abstract workflow poster for a real estate contract automation system.
Outcome

The team can create contracts faster and avoid messy follow-up mistakes.

The team had property data, contracts, emails, and CRM records in different places. They needed speed, but they also needed to avoid sending follow-ups after someone had already replied.

What was wasting time

The team had property data, contracts, emails, and CRM records in different places. They needed speed, but they also needed to avoid sending follow-ups after someone had already replied.

What changed

I built a system that turns property rows into ready-to-review contract PDFs. Before follow-up, it checks email and CRM activity so the team keeps control.

Result

The team can create contracts faster and avoid messy follow-up mistakes.

How it works

  1. Start with a property row.
  2. Fill the contract details.
  3. Create the PDF contract.
  4. Save it in the right folder.
  5. Check for replies before follow-up.

Tools, explained

  • Google Sheets is a spreadsheet the team already knows how to update.
  • Apps Script is small code inside Google Sheets that checks fields and starts the right next step.
  • Make.com is an automation tool that connects apps so people do not have to copy data by hand.
  • PDF.co fills PDF forms, which is useful for contracts and signed documents.
  • GMass is a Gmail sending tool, used here only after checks and review.
  • Gmail is the inbox check that helps prevent follow-up after someone already replied.
  • GoHighLevel is a CRM, which means the customer database used to track leads and conversations.
